The confidentiality challenges of large-scale commercial video call apps

Conversations held on video platforms are often deeply sensitive. Yet, after speaking with many professionals who use mainstream commercial video call services, two key concerns stood out:

  1. A lack of clarity around what happens to the data.

  2. A lack of visibility and ownership of recordings.

Ovida was built to solve these issues, offering a more secure and transparent video call experience for both hosts and guests.

Lack of clarity about what happens to data

Most people who join meetings on large video platforms never read the terms and conditions - and therefore don’t fully understand how their data is used.

At Ovida, your data is never traded, marketed, shared, or sold. The information we collect and store is used solely to help participants better understand and improve their communication skills.

Unlike providers that offer “free” or heavily discounted services in exchange for monetizing your data, Ovida generates revenue by billing the professionals who use our platform. Our loyalty is to them - and to you, their clients - not to third parties seeking access to your information.

Ownership of recordings

On mainstream platforms, once a coach, mentor, or leader records a meeting, participants immediately lose visibility and control. Without an account, guests effectively disclaim ownership of their own data.

Ovida works differently. Every host must be logged in to Ovida, but guests are not required to sign up to join. However, if a guest does choose to sign up - even after the meeting - they gain the ability to:

  • See who has access to their meeting

  • Revoke that access at any time

  • Request deletion of their data (without needing the host approval)

  • Exercise their legal “right to be forgotten”

This model gives both hosts and guests confidence that privacy will always be preserved.

Our use of third-party data processors

To provide the in-depth analytics our users rely on, Ovida may send meeting transcripts to trusted third-party providers. These are always large, established companies whose data policies meet our strict compliance standards.

  • Transcripts are never stored by providers after processing.

  • Personally Identifiable Information (PII) is scrubbed before any transcript leaves Ovida.

  • This ensures transcripts cannot be tied back to you.

Penetration testing and security

Ovida is trusted by Fortune 100 financial services firms to handle highly confidential data. To earn that trust, we undergo and pass rigorous penetration testing to validate the security of our platform.

Who can see your data?

  • If you decided to sign up before or after your meeting, both and you coach can see your meeting data. Ovida produces metrics and data about your coach's performance that is private to them.

  • Your coach may share your meeting with a mentor or supervisor. It is your coach's responsibility to obtain your consent before doing this. The identity of the people your meeting is shared to will be made visible to you. You can withdraw your consent at any time, either by asking your coach to remove observers from the meeting, or by asking us to do so directly.

  • Your coach may download an anonymized transcript for accreditation purposes, but only with your consent.

  • Your coach may also download the meeting video or audio, again only with your consent.
