How to join a meeting as a host, guest or observer

Meeting basics:

1. To ensure security, the host and observers (if any) must be logged in to join a room, but guests can join without being signed up or logged in.

2. If you are leading the conversation and you'd like to receive the analysis on your communication skills, you must be the host. The system analyzes meetings based on the assigned roles. If you wish to switch roles and have your guest coach you, they will need to create a separate meeting and invite you to it.

3. The join meeting link can be used by any invited user to join a meeting.

5. Only the host can end the meeting, but the guest can leave at any time (although this does not actively end the meeting).

6.Once the host ends a meeting and chooses to submit it for analysis, the meeting cannot be restarted.

7. Users can leave and return to a meeting an unlimited number of times by clicking "Back to Lobby".

8. Observers can click to unmute and turn on camera to provide real-time feedback. When they do, the recording stops automatically to ensure the session analysis remains unaffected by their presence.

9. Only the user on a Mentor plan or an owner/member of the team on Business or Enterprise plan can be added as an observer.


Logging in to join the meeting: host and observer(s) - required, guest - optional

Step 1: log in to your Ovida account

Step 2: Select "Join" button (1) or "Join meeting with" (2) on the Home page or the Meetings page

Step 3: Select the appropriate camera and microphone from the dropdown menu's. If you haven't done so before your first meeting, please test your audio and video to ensure optimal performance.

Step 4: Click "Join" next to your meeting video to join the meeting room.

Recording will start automatically when host and guest join the meeting. You can control which parts of the meeting will be recorded. Find out more here.
