Who can download transcripts, audio and video files

Meeting mode and organization download permissinos determine who can download the transcript, audio and video

When meeting files can be downloaded

For every meeting, there is an option to separately download:

  1. a high-accuracy transcript

  2. original meeting audio

  3. original meeting video

Whether these files are available depends on two things:

  1. Organisation download permissions set by the Ovida admin

  2. Meeting mode (Review or Train)


Organisation download permissions

To enhance control over sensitive meeting data, we introduced a new organisation-level setting that manages download permissions for users with the "Observer" role. By default, observers will not be able to download any meeting files. However, Ovida Admin can explicitly grant observers download access across all teams within the organisation.

The Ovida admin can turn downloads on or off for:

Audio and video

  • If download of video/audio is turned Off, no one in your organisation’s teams will be able to download these files.

Transcript

  • If download of transcript is turned Off, no one in your organisation’s teams will be able to download it.

When a download is disabled:

  • The download icon is greyed out and non-interactive.

  • Hovering over the icon shows the tooltip: “Download is disabled by your organisation.”

When a download is enabled:

  • The download icon is active and works as usual.


Meeting modes

Even if downloads are enabled by your organisation, meeting modes also affect who can download:

Review mode

  • Only the meeting host can download files.

  • This protects client privacy, since the host obtains consent before recording.

  • In this mode, clients do not have visibility into moments, comments, or discussions between the host and observer.

Train mode

  • All users connected to a meeting (host, guest, observers) can download the files.

  • Commonly used for training sessions (e.g., when a client is a peer).

  • Important: in this mode, clients have access to the entire meeting data, including comments exchanged between the host and observer. This may not be suitable if the clients are actual clients seeking confidentiality.


Requesting a download

If you were the client and the meeting is in Review mode and you’d like a copy of the files, simply ask the host to download and share them with you.
